1 Booking confirmation

Thank you for visiting BVFB Tara Bay (the Website). By making a booking request for the property on the website you agree to be bound by these terms and conditions (Terms). All bookings are NOT transferable.

When making a booking request through the Website, you will be contacted within 2 working days to advise confirmation (which will be completed upon payment) or non-acceptance of the booking request. Acceptance will be at BVFB’s sole discretion.

 

2 Booking Periods and Minimum nights

A booking that includes 25th December and 31 st December must be for a minimum of 7 consecutive nights. (A booking request for 25 th & 31 st December submitted within one week of 31 December will be considered for a lower amount of nights).

A booking over Queens Birthday weekend, Labour Weekend, regional Anniversary weekends and Waitangi Weekend is for 3 nights minimum, unless specified otherwise. A booking that includes Easter must be for a minimum of 4 nights. At all other times a 2 consecutive night minimum stay applies.

Reduced nights may be considered within 2 weeks of the Holiday periods.

 

3 Persons on Booking and Maximum Persons

Bookings must not exceed 10 people, and no pets are allowed.

The booking is valid for the number of persons as indicated on the booking request. Any changes to the booking should be communicated to and agreed by the BVFB in writing, so as to ensure the booking remains valid. Smoking is not allowed on the property.

 

4 Cancellations and booking changes

If the booking is cancelled by the rental guest or reduced nights requested before 2 weeks of the start of the tenancy, 50% of the fees paid will be forfeited and 50% will be returned. If the booking is cancelled by the rental guest or reduced nights requested within 2 weeks prior to the start of the tenancy, no refunds will be given under any circumstances.

Premature departure during a booking will not be eligible for any refunds.

 

5 Person making the booking present for the stay

You, as the person making the booking, must be present and onsite at the property throughout the stay, unless agreed in writing by BVFB.

 

6 Rental Payment

Full payment is required within 7 days of submitting the booking request , which upon completion will confirm your booking.

Rates are valid and applicable at the time of booking, regardless of whether they are subsequently changed.

 

7 Key Collection and return and Property Access

Contact BVFB phone numbers below at least two hours prior to collecting the keys from Blenheim Fire Station. Keys are to be returned no later than one day after your tenancy ends.

 

8 Check in and out time

Check in time – 1.00pm, check out time – 12 noon.

 

9 Cleaning and Rubbish

The property must be left clean and tidy in the same condition in which it was found. Otherwise you will be charged for the extra time required for cleaning. Bring your own rubbish bag as these are not provided. If you believe the property is not up to standard on your arrival, please contact BVFB as per the phone numbers in the key bag, and where possible, take some photos for our use to confirm the condition.

 

10 Linen

You are responsible for providing sufficient necessities for your stay (ie towels, sheets, bath towels, hand towels, face cloths, tea towels, bench cloths, etc). Do not sleep on the beds without sheets.

 

11 Additional services and charges

Additional charges will be payable as follows:

$30 for lost keys

$30 per hour to organise third parties to rectify a situation or $45 per hour if BVFB Bach custodian has to conduct remedial work themselves to sort out issues arising from your stay. These fees are on top of any fees a third party may charge.

 

12 Other rules to “respect the house”

In addition to anything else stated in these Terms, a breach of the following rules will result in possible eviction from the property:

  • Pitching of caravans or tents on the property without the written consent of BVFB
  • Parties, events, weddings, receptions, stag / hen festivities without the written consent of BVFB
  • Excess people above the maximum not authorised by BVFB in writing
  • Smoking on the property
  • Abuse, including verbal or physical, of BVFB representatives or Tara Bay neighbours
  • Undue nuisance or noise to the neighbours or local community
  • Use of illegal substances of conduct of illegal activities at the property
  • Anything that could invalidate the insurance policy for the property
  • Cutting keys for the property
  • Tampering with smoke alarms
  • Booking on behalf of another person without intending to be at the property during the stay
  • Bringing a pet onsite or inside the house
  • Trees and shrubs around the bach shall be protected and preserved
  • No fire to be lit in the open, excecpt gas BBQ’s
  • Roadway and track to the beach to be keep clear of all vehicles at all times

Should you be evicted from the property, all amounts paid will be forfeited and the BVFB representative may remain on-site at the property as you get ready for departure. In the instance of eviction, a mandatory exit clean will be provided by BVFB representative and you will be charged for this.

 

13 Water

Water is a precious resource in our Holiday home. The property is on tank water only, with no town supply. You must be careful with water usage. Washing motor vehicles, boats, jet skis, kayaks, and other water toys is not permitted. Should the water run out within 7 days of you departure due to excessive water usage, you may be liable for the cost of the tank refill.

 

14 Reporting a complaint

Should you have any issues with the property during your stay, you should notify the BVFB Bach custodian immediately. If you cannot reach the custodian, or are not satisfied with the resolution with the custodian, you should contact the Bach Chairman or the BVFB Chief Fire Officer (phone numbers in key bag).

 

15 Unavailability

If the property becomes unavailable for any reason after a booking request is confirmed, BVFB will cancel the booking and refund and monies paid. BVFB will have no further liability in connection with the unavailability of the property after booking.

 

16 Liability

Any use of amenities provided such as the dinghy or fishing gear is entirely at your own risk and the BVFB will not be liable for any injury, loss or damage you or any other person may suffer.

You will advise the BVFB Custodian of any loss or damage that has occurred at the property during your stay.

You will be responsible for the full costs, including time of the BVFB custodian, of repairing or replacing any damaged or lost items.

None of the BVFB personnel will be liable for any event beyond their reasonable control, or for any loss or damage you or any other person suffers during your stay, or for any damage to the property.

 

17 Contract

These terms are for the benefit of, and are intended to be enforceable by the BVFB under the Contracts (Privity) Act 1982.

 

18 Bedroom Configuration

  • Bedroom 1 & 2 – Double bed in each
  • Bedroom 3 – 3x double bunks

 

19 Things you need to bring

  • 9kg gas bottle for BBQ if you wish to use it
  • Pillows, sheets, towels (Duvets & blankets are supplied)
  • Tea towels and dish wash detergent, and laundry powder for washing machine
  • Toilet paper, cleaning products and own rubbish bag to transport rubbish off site
